University and Student Programs Advisor

Position Summary:

Responsible for management of Student Chapter Excellence Program, Early Career Professionals Program, Student Chapter Book Program and, SEG/Chevron Student Leadership Symposium. Assure successful implementation of these programs through effective project management, marketing supervision, liaising with relevant committees and ensuring successful donor and volunteer relations through strong working relationships. Key relationship development areas include internal and external customers.
 

Essential Functions:

  1. Manage all activities associated with Student Chapter Excellence Program. Primary responsibilities include promoting program to Student Chapters, liaising with Student Chapter Subcommittee, assist in developing and implementing critical program processes including OLC, managing allocated budget, preparing memos to Executive Committee for approval of new chapters, modifications in student chapters' status, and liaising with Faculty and student chapters to ensure delivery of established services and benefits. Coordinate with relevant departments (Professional Development, Foundation, Membership, Global Relations, Finance, IT) on delivery of awards and benefits to pertinent student chapters.
     
  2. Project manager for the Early Career Professionals' Program. Primary responsibilities include but are not limited to: creating and managing allocated budget, developing and implementing critical program processes with input from key stakeholders, identifying new program growth opportunities, promoting program to relevant segments, managing logistical processes, building program agenda, establishing a working relationship with key stakeholders, full program onsite implementation, and ensuring donor satisfaction – three to four events per year (includes two international). Documenting best practices create business model and preparing final reports as needed.
     
  3. Project manager for the SEG/Chevron Student Leadership Symposium. Primary responsibilities include creating and working within budget limits, promoting program to Student Chapters, carefully screening applicants for selection committee, managing student and consultant travel, building program agenda, contracting professional leadership consultant, securing high-level Chevron individuals to participate during program, full program implementation, and ensuring donor satisfaction. Accountable for overall experience and safety of 50 student leaders travelling from around the world.
     
  4. Departmental lead on marketing and communications in collaboration with marketing department. Primarily responsible for liaising with centralized marketing to promote student and Early Career Professionals' programs through the marketing materials in print, digital and other media particular interest to students. Supervise Develop marketing and promotional materials for potential and current student members and Chapters. Work with marketing on timely production of the quarterly student newsletter, the Anomaly. Submit to Marketing and Web Content teams to publish on-line. Prepare new materials for the SEG Student web site. Review and update existing content and layout. Provide and edit information on Student Chapters to be published in the SEG Yearbook. Update monthly TLE advertisements and calendar. 
     
  5. Committee liaison to the SEG Foundation Travel Grant Committee. Develop a working partnership with the chair, assist the committee to establish and achieve annual goals, facilitate regular meetings and prepare minutes as appropriate, maintain Committee web pages, facilitate use of online collaboration space and maintain committee procedures. Review applications and prepare materials for the Committee for the selection process. Prepare written reports and recommendations to the Foundation Board based on Committee decisions and guidance. Responsible for ensuring that all applicants meet the requirements of the Patriot Act and the OFAC through established queries and documentation.
     
  6. Project manager for the Student Chapter Book Program. Direct the activities of Operations, Publications, Accounting, and the Foundation to ensure a timely, cost-effective order, inventory and delivery of books. Establish tracking procedures to insure book shipments are received and that Chapters meet program expectations.  
     
  7. Represent SEG at the international events relevant to the department's goal and objectives. Organize informative SEG booths at these events. Prepare wrap-up report after events and year-end reports for programs supervised. Work to increase SEG presence, increase geophysical student attendance, and activities for geophysical students.
     
  8. Work with USP Manager on creating and maintaining global database to provide strategic insight on opportunities to strengthen geophysical education globally.
     

Other Duties:

  • Assist the membership department as needed in USP-related membership campaigns.

  • Attendance and work at the International Exposition and Annual Meeting is required including Student Pavilion events.

  • Support the CUSP Committee as needed. Serve as staff liaison to the Student Programs Sub-committee.
     

Experience Required:

A minimum of four (4) years of experience running complex projects is required. International experience is required. Previous experience with student programs or work in a university setting is preferred. Two (2) years minimum of experience in Classical and Strategic marketing is preferred.
 

Education, Certifications and Specialized Training:

A Bachelor's degree in international relations, business, public relations, education, or communications or equivalent experience of eight (8) years in these fields is required.
 

Job-Specific Skills and Knowledge:

  • Comprehensive understanding of the Microsoft Office package is required. Previous experience with a database management software package is desired.
     
  • Project management skills are required. Demonstrated ability to organize and to multi-task with multiple concurrent responsibilities is required. 
     
  • Domestic and international travel is required. 
     
  • Excellent oral and written communication skills are required. Cross cultural communication experience is desired.
